ALPHA THETA CHAPTER OF SIGMA CHI FRATERNITY, INC. Alpha Theta Chapter M.I.T. founded 1882 founded 1861 September 14, 1996 Minutes of the meeting of the Corporate Board, held April 29, 1996. The meeting was called to order at 7:11 PM in the Chapter House Library. Present: Herb Mower (Board), Karl Buttner (Board), Kris Kendall (Board, Work Week Manager), Scott McMurray (Board), Jim Harmon (Board, House Manager), Steve Morris, Peter K. Hadley, Josh Littlefield (Board), Adam D'Amico, Ben Hellweg (Board, Consul). Minutes of the February 19, 1996, meeting were accepted as distributed, with spelling corrections. CORPORATE REPORTS Treasurer - Herb Mower for Mark Curtiss 1. The Board approved a motion to increase rent by $1500/year, bring rent to $41,000 annually. Renovation and Annual Fund - Herb Mover 1. The Renovation Fund is now at $51,750 of the $56,865 pledged, with the pledge payment period nearly over. 2. This year's Annual Fund has so far seen contributions of $5510 from 115 donors. 3. The mortgage was front-loaded during the pledge payment years, and mortgage payments should now be reduced (since we're a year behind on the renovation fund). Yet we may be facing an income shortage of about $5,000 - $10,000 with the renovation drive over. 4. Steve Morris requested that the Treasurer present an answer to the question of reduced income for the next meeting. Nameless Committee Concerned with Facilities - Steve Morris 1. The committee has met 4 times, though they have not yet determined a name for themselves. 2. They are currently compiling an inventory of the house and furnishings, and a history of room paint, floors coverings and room furnishings, to plan and monitor replacements. 3. They are also compiling a list of regular inspections (such as sprinkler inspections) indicating the schedule and agency. 4. Herb has forwarded the alarm inspection info and service contract to Karl Buttner. 5. Karl expressed concern over the number of alarm calls recorded by American Alarm over the last six months. The Chapter indicated that the alarm had been going off silently, and the alarm company had been informed of the problem. They came back and checked out the system. CHAPTER REPORTS Consul - Ben Hellweg 1. House morale is high. The bank account is flush. The Chapter may seek money from the Corporation for the bike room door. 2. The Chapter needs a letter from Herb indicating the house is in good condition, etc. for the Peterson Award application. 115th Reunion - Ben Hellweg 1. Planning is progressing. Costs are as yet unknown. Accommodations will probably be at the Park 57 Hotel, which has offered a rate of $110 for single and $120 for double. 2. The anticipated schedule is as follows: Friday evening: Class get-togethers Saturday: Presentation by Victor Aguero about tethered satellite Lunch Secret stuff (wives take Boston tours, etc.) Saturday evening: Banquet at hotel Sunday: Brunch Softball game, or similar activity BBQ to wrap up. 3. MIT Alumni Office can provide lots of services to us at no charge, such as mailings, etc. 4. Kris is looking for alumni volunteers to host class gatherings Friday night. BUSINESS Work Week - Kris Kendall 1. Kris distributed an outline proposal with rough cost estimates. 2. Projects included routine replacement of mattresses and chairs; special replacement of another mattress and a desk in 3LB; rug for Consul's room; new cabinets to improve storage (goal of 8 milk crate equivalent for each active); carpet for 2LB; small repair of kitchen floor; new roof hatch (homemade); ZLM closet storage; doors on bar storage; relay 3rd and 4th floor carpeting (esp. stairways); polycoat dining room floor, library floor, dining room tables. Also a new carpet for library. 3. The Board approved a budget of $4800, and an additional $500 for the library carpet. 4. There was a discussion regarding purchase of a carpet shampooer, and who is responsible for funding it. The Board approved a motion authorizing the unnamed facilities committee to approve purchase of a good quality carpet cleaner with a limit of $500. Stewart-Howe - Herb Mower 1. Mark Curtiss talked with Stewart-Howe. It was not really a productive discussion. Mark wants to form another committee to review the Stewart-Howe/fundraising issues. The new Newsletter Committee, will be comprised of Ben Hellweg, Herb, and Mark. Alcohol Policy - Herb Mower 1. Herb indicated Lowell is about to close down two fraternities for alcohol-related violations. He's concerned the state is starting to crack down and the Chapter alcohol policy and implementation should be reviewed. The current alcohol policy is a superset of the IFC policy. It is more oriented towards guests and doesn't explicitly mention members of the House. Herb reminded the Chapter that purchasing alcohol with chapter funds violates the policy of the Sigma Chi general fraternity. Other new business 1. Herb wants someone from the Corporation to got to Workshop this summer. Sigma Chi is placing more focus on corporation issues -- alcohol policy, liability, fundraising, loans, etc. The cost is $375. The Board approved a motion to send a corporate representative to Workshop, someone can be recruited. 2. The Senior dinner is scheduled for Tuesday, May 14, at the Union Oyster House.
