Alpha Theta Chapter M.I.T. founded 1882 founded 1861 September 30, 1997 Minutes of the meeting of the Corporate Board, held September 17, 1997. The meeting was called to order at 7:10 PM in the Chapter House Library. Present: Peter K. Hadley (Board), Herb Mower (Board), Dale Chon (Spring Board Rep.), Dan Frisk (Work Week Manager), Adam Kropp (Quaestor, Board), Sam Towell (Fall Board Rep.), Jason Black, Mark Curtiss (Board), Josh Littlefield (Board). Minutes of the April 8, 1997, meeting were accepted as distributed. (Thanks to Jim Wilber for putting these together.) REPORTS 115th Reunion - Herb Mower 1. We took in about $1000 more than we spent, and didn't spend the $1000 in Corporate funds which had been budgeted. Having a cash bar saved a lot of money. The per capita charge was about the same as the prior reunion, though charged differently. 2. The Treasurer still has to check these figures against his own. President - Herb Mower 1. We got a letter from the fire alarm inspection company (dated November, 1996) indicating the alarm is in good working order. 2. MIT is doing an audit of Independent Living Groups for safety issues, physical plant deficiencies, etc. 3. Sigma Chi headquarters sent a letter complaining that our insurance had expired, but it turns out MIT had just been slow in forwarding new insurance binders. The insurance is up to date and exceeds Sigma Chi requirements. Treasurer - Mark Curtiss 1. Mark distributed a preliminary FY97 financial statement. He said his reunion figures seem to basically agree with Herb's. There are still some outstanding house loans which aren't being paid down, which he'll discuss with the Quaestor. The renovation fund income has come to an end, but this year there was some reunion income. A water heater repair increased expenses significantly this year. 2. The Board voted to accept the report as submitted. Consul - Jason Black (Pro-Consul) 1. Rush went well, yielding eight pledges. Workshop also went well this summer. 2. Province conference will be in Boston in the Spring, sponsored by MIT, BU, and Harvard. 3. The Chapter is appealing its Peterson loss this year, and is hopeful of recovering enough points to win the award again. It had been scored by a novice without review, who had not understood some of the Chapter's progressive financial practices, and made other errors. Quaestor - Adam Kropp 1. Boston Edison hasn't read our electric meter in about 9 months or so. They've been estimating the bill at a rate far less than we'd normally pay. The Chapter has continued to budget the expected amount, but concern is growing that the reconciliation may be significant. Attempts to call Edison for a reading have not resulted in appointments more specific than a 48 hour period, making it impossible to ensure anyone will be home. 2. The Board suggested trying Edison's service people again and escalating the problem. BUSINESS Preliminary Work Week Review - Dan Frisk 1. Work week was under budget, spending $3174. Some money was saved on budgeted supplies which the house already owned, and some projects which were not undertaken: primarily bike room projects and repair of pocket doors. 2. Some unscheduled projects were also undertaken. The zero-floor head has been finished, the piano was tuned, the front lawn received new sod. 3. No dining room chairs were repaired or replaced, and no curtains replaced. 4. Still no progress on the problem with the carpet installer from last year. More attempts have been made to contact him, but without result. Mark suggested its time to send a "30-day action letter" indicating the matter will be referred to out lawyer. 5. One estimate had been received on repair of the Music Room window, for $490, installed. The Board suggested quickly getting a second estimate to validate the first and to proceed with the repair. 6. An informal estimate of custom-made chairs believed somewhat similar to those in the dining room was said to be about $250-$300 per chair. 7. The final report for Work Week will be submitted at the next meeting. The Annual meeting of the Corporation and the next Corporate Board meeting will take place on October 14, 1997.
