ALPHA THETA CHAPTER OF SIGMA CHI FRATERNITY, INC. Alpha Theta Chapter M.I.T. founded 1882 founded 1861 January 24, 1998 Minutes of the Annual Meeting of the Alpha Theta Chapter of Sigma Chi Fraternity, Inc. held October 14, 1997. The meeting was called to order at 7:06 PM in the Chapter House Library. Present: Herb Mower (Board), Josh Littlefield (Board), Jay Krone (Board), Mark Curtiss (Board), Jim Wilber (Board), Dale Chon (Spring Rep., Board), Jason Black, Charlie Wykoff (Consul, Board), Sherrett Walker (Corp. Member), Karl Büttner (Board), Erich Orenchuk, P. K. Hadley (Board), Adam Kropp (Quaestor, Board), Phil Kim, Dan Frisk, Kris Kendall (House Manager, Board). Minutes of the October 30, 1995, meeting were accepted as distributed by mail and e-mail. REPORTS Treasurer - Mark Curtiss 1. Mark passed out a "final draft" of a balance sheet and budget analysis, as well as graphs of cash balances over time and distribution of income and expenses. 2. The Corporation lost no money on the Reunion event. Cash balances are up dramatically after two down years. We had a profit this year of $7600 due to a small surplus from the reunion and the chapter catching up on receivables. Beaver Sig income is down a bit, and there was no significant renovation fund income this year. Rent is 80% of income, depreciation and property taxes are 60% of expenses. 2. The Corporation approved a motion to accept the Treasurer's report. 3. The Corporation approved a motion to set aside excess income above $1000 for educational, and scientific purposes. 115th Reunion - Herb Mower 1. Herb distributed a cash flow report on reunion income and expenses. It quite closely matched the Treasurer's numbers. Expenses for reunion totaled about $13,000. BUSINESS Election of Corporate Members 1. Peter Kemp Hadley was reelected as a corporate member for a 3 year term. Additionally, Erich Orenchuk and Pete Warren were elected to 3 year terms. Election of Alumni Representatives to the Board of Directors 1. Karl Büttner, Mark Curtiss, Jay Krone, Josh Littlefield, Herb Mower, P. K. Hadley, and Tom Faust were all elected to one year terms on the Board of Directors. The Annual Meeting was adjourned at 7:35 PM. The meeting of the Corporate Board was called to order at 7:36 PM. Present: As above. Minutes of the September 17, 1997, meeting were accepted as distributed by mail and e-mail. Election of Officers 1. Mark Curtiss was elected to a one year term as President of the Corporation by white ballot. 2. Tom Faust was elected to a one year term as Treasurer of the Corporation by white ballot. 3. Josh Littlefield was elected to a one year term as Clerk of the Corporation by white ballot. Bouquets 1. Heartfelt thanks were unanimously expressed for Herb Mower's years of service as President, and also for his outstanding work in organizing a very successful reunion. REPORTS Consul - Charlie Wykoff 1. The Chapter is in the midst of preparing a Beaver Sig issue. 2. They are still planning to appeal their Peterson Award denial. 3. The International Sweetheart is flying out for the Sweetheart Ball. 4. The A.E.S recently visited, two days prior to the Scott Krueger incident. 5. The house is holding a blood drive for Boston fraternities. 6. One pledge has moved out of the house, though he has not de-pledged. He still seems very interested, but it is unclear if it will work out. 7. A junior recently moved out of the house as well. The Chapter is now trying to get rid of the apartment they've been renting, to reduce expenses. 8. When the pledges held their walkout they went a bit too far in trashing the house as a hack Work Week Final Report - Dan Frisk 1. Dan distributed a final report. 2. Work week was slightly under budget, with expenses totaling $3248, although certain projects were not completed, including carpeting and the front window repair. 3. The Board approved a motion to accept the work week report and release funds to the house. BUSINESS Alcohol Issues 1. A brief review of the Krueger incident, as well as a recent Zeta Psi incident, took place, followed by a summary of MIT's reaction to-date and ongoing discussions at the IFC. Sigma Chi has been an active leader in campus discussions. 2. Herb encouraged alumni to write letters to Neil Dorow, having also solicited letters on the sigs@mit.edu mailing list. He had received 13 letters so far, as well as one from Fran. 3. There was discussion about the range of things which MIT might in the future in reaction to these incidents, and the effect it might have on the Chapter. There is concern that if freshman rush occurs next year, parents' concerns may greatly affect it. 4. It was agreed that the first concern should be preventing a similar incident at Sigma Chi, which is a separate issue from damage-control of community reaction. After that the priority should be working with MIT to avoid over-reaction and implement necessary changes. 5. Herb proposed a one day symposium on January 25th. The Corporation would sponsor undergraduates, and charge a small fee for alumni. The focus would be alcohol education and policies, as well as rush and planning for the future, with presentations by experts and local Sigma Chi folks. Herb would use about $1000 from the educational fund at Sigma Chi. He anticipated the total cost would be about $2000. 6. The Board approved a motion to go ahead with Herb's symposium plan. 7. A committee was formed for the symposium, consisting of Herb and Charlie Wykoff. 8. Jim Wilber suggested the house, as a leader in the IFC, push for a rush week alcohol education program, perhaps modeled on the January symposium. It would be institute-wide, fraternity(ILG)-sponsored, and open to all freshmen. 9. Sherrett indicated he's been talking with Kurt Gerstner about getting Mike Green (a speaker on alcoholism and young adults) to talk at an alcohol awareness session at Province Conference. 10.
